Pelican Self Storage Group, ("Pelican Self Storage","we" or"us") may retain information about individuals at any time and use such information for various purposes. This information is directed to all individuals, such as customers, who use Pelican Self Storage services and products. Information about individuals is referred to as"personal data".
What kind of personal data is stored and used by Pelican Self Storage?
We receive personal data from individuals and from other sources and the data is broadly categorized as follows:
- identification data such as name, address, bank account details, social security number
- contact details such as email address, phone number
- service and product data, such as information about the services or products an individual buys or uses
- communication tasks such as customer enquiries
- segment data such as why a customer needs a storage unit
Why do we store personal data?
We use some basic personal data to provide products and services to individuals.
When we market our products, we may also use personal data for distribution purposes.
What is our justification for storing and using personal data?
We may use personal data if there is a contract.
For example, if an individual purchases a service or product from Pelican Self Storage, their contact details may be used to process the payment or to deliver the product.
In some cases, we obtain prior consent to use personal data.
Individuals may withdraw their consent to the collection, use or disclosure or other processing of their personal data at any time.
In some cases, we may use personal data to comply with legal obligations to which Pelican Self Storage is subject or if Pelican Self Storage has a legitimate interest that justifies the use of personal data for a particular purpose.
Access to personal data by parties other than Pelican Self Storage
We may engage other parties to provide IT, logistics and other administrative support (e.g. parties providing distribution services or software/IT support). These parties may have access to personal data to the extent necessary for them to provide the relevant service.
We may disclose certain personal data to transportation/logistics companies for delivery purposes. We may disclose personal data between Pelican Self Storage group companies at any time if required to ensure compliance with legal requirements or to respond to requests from authorities.
Personal data may be disclosed to parties outside the European Economic Area ("EEA").
In such cases, we ensure that the personal data is subject to measures that provide the same level of protection as that provided by data protection legislation in the EU (e.g. the EU General Data Protection Regulation, GDPR).
How long is personal data stored?
Personal data will be retained by Pelican Self Storage or by other parties on our behalf only for as long as necessary to fulfill our obligations and only for as long as necessary to achieve the purposes for which the data was collected.
Personal data is removed from our records or anonymized when it is no longer necessary.
Personal data in contracts, communications and business letters may be subject to legal retention requirements, which may require storage for up to 10 years.
Other personal data is in principle deleted at the latest two years after the last interaction and business contact with the individual.
Longer retention periods may apply to backup copies of personal data for security reasons.
However, access to the personal data will be severely restricted.
CCTV surveillance
Please note that if our store has a CCTV camera, recordings of the customer may be stored. All CCTV images are recorded solely for security reasons and to prevent and detect crime. For further information on this, please contact us via the contact details below.
What are the rights of the individual?
Consent we have obtained to store or use personal data can be withdrawn at any time.
In addition, individuals have the right to:
i. Right to transparency: Individuals have the right to ask us whether we hold personal data about them and, if so, what personal data we hold. We are also obliged to answer questions about why we use personal data, details of what information we hold and who we have given access to the information. However, this is not an unconditional right and the interests of other individuals may limit the right of access.
ii. Right of rectification: We are obliged to correct inaccurate personal data or complete incomplete personal data upon request.
iii. right to erasure (right to be forgotten): In some situations, we are obliged to delete personal data at the request of the person concerned.
iv. Right to restriction of processing: In some situations, we are obliged to restrict our use of personal data at the request of the person concerned. In such cases, we can only use the data for certain limited statutory purposes.
v. The right to data portability: Individuals may, under certain circumstances, have the right to receive their personal data held by us in a structured, commonly used and machine-readable format and such individuals may then have the right to transmit this data to other entities without hindrance from us.
vi. Right to object: In some cases, individuals have the right to object to our use of their personal data. In such cases, we may be obliged to stop using the personal data. An example of such a situation is if the personal data is used for marketing and profiling purposes.

We reserve the right to change this Privacy Notice at any time. If we make changes to this notice, we will inform you of those changes by posting the most recent version of the notice on our website.
Recordings of outgoing telephone calls
At Pelican Self Storage we value a high standard of customer service and security.
To ensure that agreements in connection with contract signing and contract changes can be documented, we record telephone calls. The recordings will be handled in accordance with applicable data protection legislation and stored for a maximum of 3 months, after which they will be deleted.
